This policy explains what personal data Travoffice handles, why, and how it is protected. Travoffice is run by Trav Office, Chingeltei district, Burd Tower 34-141, Ulaanbaatar, Mongolia. It covers the website travoffice.com and the application at app.travoffice.com.

1. On this website

  • When you book a demo, we keep the details you type (name, agency, email, phone, country and your message) to answer you and arrange the call.
  • We do not use advertising trackers on this website and we do not sell anyone's data.
  • Your day or night choice is remembered in your own browser only.

2. Inside the application

  • Your team's data: names, emails, roles, and the activity and attendance records the agency uses, kept to run the service and to show the agency who did what.
  • Clients and travellers: the agency enters and controls this data (for example names, passports, contact details and trip details). We process it only on the agency's behalf and only to run the service.
  • Files: documents, photos and receipts the agency uploads are stored securely and shown only to that agency.

3. How data is protected

  • Every agency works in its own separate space.
  • Connections are encrypted, passwords are never stored in readable form, and access depends on each person's role.
  • Data is backed up every day.
  • Our support team looks at an agency's data only to keep the service running or when the agency asks for help.

4. Who else handles data

We use trusted providers to host the service, store files and send email. They handle data only to provide those services to us and under their own security and privacy commitments.

5. How long we keep it

Agency data is kept while the agency uses Travoffice and for the period agreed at the end of its plan. Demo requests are kept as long as needed to follow up, and deleted on request.

6. Your choices

You can ask to see, correct, export or delete personal data we hold about you. If you are a traveller, please write to the travel agency you booked with first; they control your data and we will help them.
