Terms of service

These terms apply to the Travoffice service, provided by Trav Office, Chingeltei district, Burd Tower 34-141, Ulaanbaatar, Mongolia ("Travoffice", "we", "us"): the website travoffice.com and the application at app.travoffice.com. The agency that signs up ("you", "the agency") agrees to them on behalf of everyone it gives a login to.

1. The service

Travoffice is a back-office system for travel agencies and tour operators: trips, quotations, reservations, documents, payments, accounting and team tools. The features in your plan are those agreed with you when the plan is set.

2. Your account and your team

• Your agency's admin creates logins for your team and decides what each person may do.
• Each login is for one person. Keep passwords private and tell us at once if you think one has been misused.
• You are responsible for what is done under your agency's logins.

3. Your data

• Everything your agency puts into Travoffice stays yours: trips, clients, travellers, suppliers, prices, documents and files.
• We use it only to run the service for you, to keep it safe, and to give you support when you ask.
• Your agency's space is separate from every other agency's. Other agencies cannot see your data.
• At the end of your plan you can ask for an export of your data. We delete it after the period agreed with you, unless the law requires us to keep it longer.

4. Travellers' personal data

For the personal data of your clients and travellers, you are the controller and we process it on your behalf. You make sure you have the right to collect it and to store it in Travoffice. Our Privacy policy explains how we protect it.

5. Fair use

• Use Travoffice for your agency's own business and within the law.
• Do not try to reach another agency's data, break the security of the service, or overload it on purpose.
• Do not copy, resell or rebuild the service.

6. Plans and payment

Your plan, price and billing period are agreed with you in writing before you start. If an invoice stays unpaid after a reminder, we may make your agency's space read-only until it is settled. Your data is not deleted because of a late payment.

7. Availability and changes

We work to keep Travoffice running every day and back it up daily. Updates are usually installed at night to keep interruptions short. We improve the service over time; if we ever remove something your agency relies on, we tell you in advance.

8. Liability

Travoffice is a tool: your agency remains responsible for its trips, prices, bookings, contracts with clients and payments to suppliers. We are not liable for indirect losses or lost profits. Our total liability for any claim is limited to the fees you paid us in the twelve months before it.

9. Ending the service

Either side may end the service at the end of the billing period with written notice. We may end it sooner if these terms are seriously broken.

10. Applicable law

These terms are governed by the laws of Mongolia. If a disagreement cannot be settled between us, it goes to the competent courts of Ulaanbaatar.
